Executive Assistant (maternity cover)

Reporting to the CEO, dotted line COO

CABE HQ, Northampton

12 month maternity cover commencing 1st August 2019

This role is responsible for providing a highly effective and confidential support service to the CEO and senior management team. It is also responsible for ensuring calendar management across the senior management team is accurate, up-to-date and aligned to the requirements of the organisation, as well as ensuring the CEO's emails are maintained and up-to-date. The successful candidate will also provide ad hoc project administration support.

Key Responsibilities

  • Providing day-to-day administrative support to the Chief Executive and the senior management team including the management of email and calendar in-boxes ensure timely response
  • Responsibility for drafting the Executive reports and documentation for Director and other Association meetings
  • Internal liaison to ensure that all board and committee materials are present for meetings
  • Facilitate and liaise on the management of annual Board elections
  • Minute taking for Director meetings, and other meetings as directed by the Chief Executive
  • Responsibility for organising all Executive meetings and co-ordinating travel arrangements for attendees
  • Producing documents, and all briefing materials for research, papers and projects
  • Co-ordinating all non-executive directors' travel and accommodation, within the UK and Internationally and arrangement of ad hoc meetings
  • Being a point of contact for any external queries via phone and email for the Executive Team
  • Providing administrative support to the Clerk to the Trustees of the Benevolent Fund
  • Provide the CEO and COO with support on key projects and operational matters
  • Able to travel across the UK as and when necessary.

  • Have at least five years experience as a Personal / Executive Assistant
  • Experienced at minute taking and report writing.
